Executive Assistant
The Executive Assistant role provides high-level administrative, operational, and event support to executive leadership while ensuring smooth day-to-day office operations. This role is responsible for supporting leadership, coordinating internal events, managing key operational processes, supporting key initiatives, enhancing in-office culture, and serving as a reliable point of contact across the organization. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, people-focused environment.
Key Responsibilities:
Administrative Support
Manage calendars, schedule meetings, and coordinate travel for executives or department heads.
Prepare and edit reports, memos, emails, presentations, and other communications.
Handle incoming and outgoing correspondence, calls, and inquiries.
Maintain filing systems (digital and physical) for records, contracts, and documentation.
Support onboarding and offboarding processes for new hires and departing employees.
Office Management
Oversee the day-to-day operations of the office, including cleanliness, functionality, and supplies.
Serve as liaison with IT, facilities, property management, and other service providers.
Track and order office and breakroom supplies, managing vendor relationships and purchasing.
Monitor and maintain office equipment, coordinating repairs or upgrades as needed.
Plan and coordinate in-office events, staff meetings, and team-building activities.
Event Coordination
Plan and execute internal events such as leadership meetings, team gatherings, trainings, and celebrations.
Coordinate logistics including space setup, catering, materials, and technology needs.
Manage event calendars and budgets, ensuring smooth execution and timely communication to key stakeholders.
Communication & Culture Support
Serve as an approachable in-office resource for employees and leadership.
Assist with internal communications, announcements, and culture-building activities.
Help maintain an organized, professional, and positive workplace environment aligned with company values.
Help implement internal communication systems and process improvements to support team productivity.
Skills & Qualifications:
5+ years of administrative or office management experience preferred.
Service-oriented mindset with ability to proactively anticipate leadership needs
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and other business software.
Highly organized, detail-oriented, and able to manage multiple priorities with discretion and professionalism.
Positive attitude with strong communication and interpersonal skills.
Self-starter with the ability to work independently and as part of a team.
